Privacy Policy

Effective: September 3, 2026 · Last updated: October 15, 2026

1. Scope

This Policy explains how Crovi Learning LLC, the operator of Crovi, handles information when you use Crovi. It applies to Crovi’s website, native iPhone app, and learning features.

2. Information you provide

We process information you provide, including your name, email address, age range, university, class standing, term, account and authentication information, settings, and support communications.

3. Learning content

Crovi processes content you choose to provide, including lecture or discussion recordings, uploaded audio, documents, PDFs, images and scans, extracted text, transcripts, notes, prompts, and AI-generated study materials such as guides, flashcards, quizzes, and exam preparation.

4. Information collected automatically

Crovi uses authentication cookies, browser local storage, IndexedDB, and server logs needed to operate the service. These systems may process browser or device information, IP address, request and error logs, session status, and feature activity. Crovi does not add advertising trackers through this Policy.

5. How information is used

We use information to provide recording, transcription, OCR, upload, storage, AI, and study features; authenticate users; maintain user workspaces; secure and troubleshoot the service; prevent misuse; respond to support requests; and meet legal obligations.

6. AI and transcription processing

When you use Crovi’s supported AI features, relevant extracted text, lecture transcripts, prompts, or academic study content may be sent through Crovi’s server to Anthropic to generate notes, study guides, flashcards, practice questions, practice exams, and related study material. The study-generation workflow described here uses transcript/text content; it does not describe sending the full recorded audio file to Anthropic.

On the web, live transcription uses speech-recognition capabilities supplied by your browser; depending on the browser, audio may be processed by the browser provider. In the native iPhone app, live lecture transcription uses Apple’s iOS speech-recognition capabilities through Crovi’s native speech-recognition implementation. The app creates a live transcript while you record. This speech processing is distinct from Anthropic’s AI processing of available transcript or academic text: Anthropic does not perform the native live speech recognition. We do not promise that all speech processing occurs only on-device.

We do not use a separate Crovi model-training pipeline, but provider handling and any model-improvement practices are governed by the applicable provider terms and Crovi’s provider agreement. This Policy does not specify Apple or Anthropic retention or deletion schedules. Contact support@crovilearning.com if you need more information before submitting sensitive content.

7. Uploads, OCR, and storage

Uploaded academic files may be processed to extract text, including OCR for images or scans, and the relevant extracted content may be used for AI study features you request. On the web, PDF text extraction and Tesseract OCR run in your browser. Uploaded files and recorded audio may be stored using Replit Object Storage, while workspace metadata, transcripts, and generated study content are synchronized to Crovi’s authenticated workspace storage. In the native iPhone app, saved lecture audio is a private authenticated Crovi asset that can be played back through the authenticated asset flow, and the transcript is saved in your workspace/lecture record. Saved audio and transcripts remain associated with your account unless deleted through available content or account-deletion controls, subject to the retention and deletion section below. Browser storage may keep local or pending copies for offline resilience and upload retry.

8. Sensitive and third-party information

Recordings and uploads may incidentally contain personal, educational, financial, health, confidential, or other sensitive information about you or others. Do not record or upload content unless you have the right and permission to process it. You are responsible for deciding what is appropriate and lawful to capture.

9. Recording privacy

Recording begins only after you intentionally choose to record and accept Crovi’s recording consent. Crovi may request microphone permission to capture lecture audio. In the native iPhone app, iOS Microphone permission is requested as needed before audio capture, and iOS Speech Recognition permission is requested as needed for live transcription. You must obtain consent from participants and follow applicable recording and privacy laws and school, employer, or organization policies. Device permissions and Crovi’s consent screen do not replace your responsibility to obtain those permissions from participants. Crovi does not authorize secret or unlawful recording or recording of private or confidential conversations without permission.

10. How information may be shared

Information may be shared with service providers that operate Crovi, including Clerk for account authentication, Stripe for billing and subscription management, Anthropic for requested AI processing, and Replit Object Storage for file and audio storage; with the applicable browser speech-recognition provider or Apple/iOS speech-recognition capabilities when you start live transcription; when required by law; to investigate abuse or protect rights and safety; or in connection with a merger, financing, acquisition, or transfer of the service.

Publication to the public Crovi Library is an explicit action you choose using supported publication controls. Your private workspace content is not automatically published. Only the content included by those controls is made available publicly; recording audio and private transcripts are not automatically made public by publishing notes or study material. Other users may import independent private copies of published content, and removing a public listing does not remove copies already imported into their workspaces. We do not make a representation here about statutory “sale” or “sharing” classifications; contact support@crovilearning.com with questions about rights that apply where you live.

11. Retention and deletion

Information is retained while needed to provide Crovi and for legitimate operational, security, dispute-resolution, and legal purposes. The codebase does not define a universal retention period. Users can delete individual notebooks, lectures, materials, transcripts, and audio through available product controls. Signed-in users can permanently delete their account and associated CROVI content from Settings. Contact support@crovilearning.com for information about applicable retention.

12. Security

We use reasonable administrative and technical safeguards appropriate to the service, including authenticated access controls for user workspaces and assets. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

13. Your choices and rights

You can update certain profile and workspace information in Crovi and delete individual content through available controls. Depending on where you live, you may have rights to request access, correction, deletion, or restriction. Contact support@crovilearning.com to make a request. We may need to verify your identity.

14. Children

Crovi is not intended for or available to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided information, contact support@crovilearning.com.

15. International processing

Information may be processed in locations where Crovi and its providers operate. Privacy protections may differ from those in your location. We do not promise transfer mechanisms that are not described in this Policy.

16. Policy updates

We may update this Policy and will revise the date above. We will use reasonable means to communicate material changes.
